HOW TO DRAFT A LETTER
INTRODUCTION
Letter’s are drafted for various official purposes.For example,we have cover letters,offer
letters,acceptance letters,complaint letters,resignation letters,letters of recommendations
etc.As students ,we may have to write leave letters,request letters and so on.In this blog let’s
see the most commonly used format of official letters.
KEY POINTS
Sender’s name & Adress,Receiver’s name & Adress
DATE – Alphanumeric format should be followed.
Eg:1 SEPTEMBER 2023
SUBJECT LINE –Mention the topic of the letter.It must be clear and concise.
SALUATION – Dear sir/Madam or Dear (FULL NAME)
INTRODUCTION – Give a brief introduction about yourself and mention the purpose
of the letter
BODY PARAGRAPHS – The receiver should be given a logical explanation of the
matter concerned.Don’t miss important facts.
CLOSURE – Make a gentle remark about what you expect from the receiver .don’t
forget to offer a graceful conclusion by thanking the receiver.EG:Your’s
faithfully,regards etc.
ENCLOSURES –If you have attached any other document,it can be listed.for
example,the copies the certificate,ID Proodf etc.
Another significant steps is to proofread the letter to avoid errors.The popularly used fonts
are times new roman and arial.The font size may vary from 12 to 14.
